How to manage your Ultimate Beneficiary Owner (UBO) declaration and track trade license expiries.
Critical UBO Declaration
UAE law requires every company to declare who the "Real Beneficiary" is. Failure to do so results in a AED 100,000 fine.
Action Required:
CertusFile does not file the legal form for you, but we track the Date you filed it to prove compliance during an audit.
- Submit your UBO form to DED (Dubai Economy) or your Free Zone authority.
- Log in to CertusFile.
- Go to Settings > Compliance Dates.
- Enter the UBO Declaration Date.
- Click Save. The red alert on your dashboard will disappear.
Alerts Trade License Renewal
Never forget your renewal date. Fines for expired licenses start at AED 200 per month.
- Go to Settings.
- Enter your License Expiry Date.
- The system will automatically email you 30 days, 7 days, and 1 day before expiry.

Store your official documents securely in the cloud so you can access them from your phone anywhere.
How to upload:
- Go to Documents in the sidebar.
- Click Upload New.
- Select the type (e.g., Trade License, Tenancy Contract, Passport).
- Upload the PDF or Image.
- (Optional) Set an expiry date for this specific document to get alerts.
