At CertusPrime Technologies ("CertusFile"), we provide software-as-a-service (SaaS) tools. This policy outlines how we handle data in compliance with UAE Federal Decree-Law No. 45 of 2021 (PDPL).

1. Information We Collect

We collect information strictly necessary for the operation of our compliance tools:

• Entity Data: Trade License, TRN, and Corporate Documents provided by the User.
• Employee Data (Processing): Names, Emirates IDs, and salary info required for User-initiated WPS processing.
• User Credentials: Login data and IP addresses for security and audit logs.

2. Legal Basis for Processing

Under Article 4 of the UAE PDPL, data is processed based on:

• Contractual Necessity: To provide the digital tools and automation services (SIF, VAT estimates) as requested by the User. CertusFile is a digital utility, not a legally responsible record-keeper.
• Compliance Assistance: To assist the User in fulfilling their own record-keeping obligations through our digital platform.
• User Consent: Explicit consent provided by the User upon registration.

3. Data Storage & Retention

• UAE Data Residency: Primary data is hosted securely within the United Arab Emirates.
• Encryption: We utilize AES-256 and TLS 1.3 encryption standards.
• Retention & Client Responsibility: CertusFile is a tool for data generation, not a permanent archiving service. We retain active data only during a paid subscription. Upon cancellation, data is held for a 90-day grace period before permanent deletion. ** The sole legal responsibility to retain records for the statutory 5-year period rests entirely with the Client.**

4. International Access & Support

Limited subsets of data may be accessed for technical support by authorized hubs outside the UAE. All remote access complies with Article 22 of the PDPL via strict DPAs and secure tunnels.

5. Your Rights

Under the UAE PDPL, you have the right to access, correct, or request the erasure of your personal data, subject to our 90-day post-subscription deletion policy.
